When running a report on the Reports | Report generator page, for large user cohorts, the required report can take some time to be generated. In these circumstances, it can be advantageous for the LMS to send a notification email to you, when the report becomes available.
You may also want to distribute a report to an arbitrary set of users, for example so that a set of managers can track the progress of their staff. The LMS supports this using emails that contain a link to the generated report, where the link is only valid for a short period.
Sending report notification to you on report completion
To have a notification email sent to yourself when you run a report, on the Report generator page, check the Send me an email when the report is complete option, as shown below:
Sending report notifications to arbitrary users
You can send an email to either users defined on the LMS, or arbitrary users that have email accounts, using the Send other users an email when the report is complete, so they can view the report option. When checked (as shown below), and you have selected the required users, or provided the necessary email addresses, an email is sent to the selected user(s) on report completion.
To email sent by the LMS contains a link, that by default is valid for 72 hours, which the user can click to download the CSV version of the defined report.
INFO: As sending report data to arbitrary users potentially enables people who are not users in the system to access report data, access to this feature is restricted to Global Administrators. If a Reporter wishes to send report completion emails to arbitrary users, they can save the report definition as a template and then request a Global Administrator to modify that template to include the additional users. When a Reporter views a template definition, they can see the details of users to which emails will be sent, but cannot modify those settings.
