To manage certification enrolment
- Log in to your Administration portal, as a Global administrator or an admin with the Certification administrator role.
- On the NAVIGATION pane, click Certifications.
- On the Results page, click the certification to be configured.
INFO: You can use the Search option to find the certification that you want to configure.
- On the Properties page, in the GENERAL panel, edit the following details:
- EXTERNAL REFERENCE. The certification external reference. You will need to use this value, when performing bulk enrol or unenrol imports, for the certification.
- Use the awarding item title on the certificate. Check this item to use the title of the awarding item on the certificate, rather than the certification name.
- On the Users page, the following enrolment functions are available:
- Enrol. Select the user(s) you wish to enrol on the certification, then click Enrol.
- Unenrol. Select the user(s) you wish to unenrol on the certification, then click Unenrol.
INFO: To find the user that you require, type the name of the user, or another property, in the SEARCH box, and click Search, or filter the list of users by Group or Organisational Unit.
- Import enrolments. Use the Import enrolment option to bulk import enrolments for a certification.
- Import unenrolments. Use the Import unenrolment option to bulk import unenrolments for a certification.
- When performing imports of enrolments or unenrolments, in the Import enrolments or Import unenrolments dialogs, click the download the template file link. The template CSV file contains the necessary set of column headings that you need to populate.
- When the file has downloaded, open the file in Excel, and enter the details for each user and certification and specify whether an associated email should be sent to the users (possible values are yes or no).
INFO: Excel is the preferred software to edit the CSV file, although other software is available.
- On the File menu, click Save.
- If the Microsoft Excel dialog box appears, asking Do you want to keep using that format?, click Yes.
IMPORTANT: It is very important that you maintain the file format as CSV and do not inadvertently create a native Excel file (.xls or .xlst). To ensure the CSV file supports all possible characters, your file should be encoded as UTF-8 (UTF-8 is a Unicode format which can encode all possible characters).
- Close the CSV file.
- In the Import enrolments or Import unenrolments dialogs, either drag-and-drop your CSV file onto the dialog box or click Browse to select the file.
INFO: To verify the CSV file contains valid data, select the Verify import file only check box. This will ensure that the input file is validated and an email containing processing errors is sent to you, but no changes are made to the Agylia system. This is a good way to ensure that the file is in the right format and contains valid data, without running the risk of inadvertently updating certifications with invalid information.
- Click Upload. Import processing now starts and you are sent an email which contains a link to view the processing status of individual user records.
- Once the upload is complete, click Close.
- Open the email, click the report link, and then correct any identified issues in the CSV file.
- On the Users page, click Import enrolments or Import unenrolments, then in the Import enrolments or Import unenrolments dialog, navigate to the CSV file location, click the file, and then click Open (drag and drop the CSV file).
- In the Import enrolments or Import unenrolments dialog, click Upload. Import processing now starts and you are sent an email which contains a link to view the processing status of individual user records.
- Once the upload is complete, click Close.
